1. Who this applies to
This policy covers Opscul's web admin console, parent/teacher web portal, and mobile app, used by school administrators, teachers, and parents/guardians on behalf of their children.
2. Information we collect
- Student records: name, date of birth, address, admission number, class/section, attendance history, exam results and fee/payment history.
- Guardian/parent information: name, email, phone number, and relationship to the student.
- Staff information: name, email, phone number, role and class/subject assignments.
- Account and usage data: login email, authentication tokens, and device push-notification tokens (for the mobile app).
- Uploaded documents: files schools choose to attach to notices or student records, stored via our file-storage provider.
3. How we use this information
Solely to operate the service your school has signed up for: displaying attendance, homework, notices, fees and exam results to the right people; sending notifications (in-app, email, and push) about school activity; and maintaining accurate school records. We do not sell student or parent data, and we do not use it for advertising.
4. Children's data
Much of the data in Opscul relates to students who are minors. This data is entered and managed by the school on behalf of, and with the consent of, the student's parent/guardian, not collected directly from children. Parents/guardians can request correction or removal of their child's data through their school administrator.
5. Who we share data with
Data is shared only with the service providers needed to run the platform, each acting as our data processor:
- Our database and hosting providers, to store and serve your school's data.
- Our file-storage provider, for uploaded documents and images.
- Our email provider, to deliver notifications you've asked to receive.
- Apple/Google push-notification services, to deliver mobile app notifications.
We do not sell or rent data to third parties for marketing purposes.
6. Data retention
School data is retained for as long as your school's account is active, plus a reasonable period afterward for legal/record-keeping purposes, unless your school requests earlier deletion.
7. Your rights
Parents and staff can request access to, correction of, or deletion of their personal data by contacting their school administrator, or by reaching us directly via our contact page.
8. Security
Access to student and parent data is restricted by role within each school, and data for different schools is kept logically separate within our systems. No method of transmission or storage is 100% secure, but we take reasonable technical measures to protect your data.
